Motor Transport Awards 2012

Rules for entries
• Any product or service can only be entered in one category. If the same or essentially similar entry is made in multiple categories, Road Transport Media Limited reserves the right to put it forward for judging only in the most appropriate category.

• Please read the guidelines on entry length and criteria for each award carefully – entries that do not comply will be marked down or rejected.
• Read carefully the description of the category you wish to enter.  Most categories are only open to commercial vehicle operators – please check the category criteria to ensure you are eligible to enter.

• Read the top tips of what the judges are looking for.

• Explain in no more than 1,000 words why you deserve the Award: what you set out to do and what has been achieved. Do not exceed 1,000 words with your submission (appendices are excluded from this count).

• Provide supporting evidence that is clearly referenced in the entry.

Complete an entry form using a new form for each category.  Photocopies are acceptable.
For each category you enter you will need to send FOUR hard copies of your entry plus FOUR completed entry forms to:

Entries and completed entry form(s) must reach Road Transport Media Limited by 22 March 2013.  

If you have not received confirmation of receipt of your entry by 22 March 2013 please contact Louise George on louise.george@rbi.co.uk or tel 0208 652 8583.

• You will be informed if your entry has been shortlisted by 6 May 2013.

• If you wish to be present on the night of the Motor Transport Awards you must book places to attend.

Terms & Conditions: Entries

Only UK companies are eligible to enter the Awards.

Entries will not be returned to you unless you make acceptable arrangements with organising office prior to the judging of the relevant entry. A return envelope with postage paid must be provided.

Entries which have been entered in a previous MT Awards competition and have not been significantly updated are not eligible for this year's competition.

The copyright of all materials assembled by the organisers of the competition will remain the property of the organiser and may be used for the purpose of publicising the awards.

If entrants wish any items sent with their entry to be returned, these should be clearly marked. Although the organiser will make every effort to return them, they cannot guarantee to do so.

All entrants must agree to publicity in respect to their entry both before and after the Awards presentation. Any confidential data in the entry must be clearly highlighted as such and will not be published.

The decision of the judges is final and no correspondence on their decision will be entered into. By registering and completing an entry for the awards you agree to these Terms and Conditions.

Award winners may state in advertising/promotional activity and on their stationery that they are a winner but this must include the category and the year in which the award was won.

Terms & Conditions: Table Bookings

Confirmation
• All bookings will be confirmed within 5 working days.  If you do not receive confirmation of your booking or an invoice from Road Transport Media Limited please contact Louise George immediately (T +44 (0) 20 8652 8583).

Payment
• Bookings may be paid by credit card at the time of booking; otherwise we will invoice you.  Invoice payments must be received by Road Transport Media Limited within 28 days of the invoice date or by close of business 5 working days before the Event, whichever is the earlier.
• Tickets for the event will not be issued until payment has been received in cleared funds.

Special requirements
• A form will be sent.  Simply complete and return as instructed on the form.  This form must be received within 48 hours prior to the event, otherwise charges will apply and it may not be possible to take care of the specific requirements of any guest.

Lighting and special effects
• It is the table booker’s responsibility to inform guest(s) that special effects, including strobe lighting, may be used on the night.

Alterations
• It may be necessary for reasons beyond our control to alter the venue or the date of the event. We will give you as much notice as we can and your booking will be transferred to the new venue or date.

Cancellations
• Cancellations must be made in writing to the registration contact at the address below.  If you cancel on or before 5 April 2013 we will refund your booking fee less an administrative charge of 15%.  If you cancel after 5 April 2013 no refund will be given.
• If we cancel the function we will refund all booking fees paid.  We do not, however, accept liability for travelling, accommodation or any other expenses incurred as a result of any cancellation or postponement of the event.
•Our liability for loss or damage incurred as the result of cancellation or postponement of the event is limited to the amount of your booking fee.

These terms and conditions are governed by English law and the courts of England and Wales will have exclusive jurisdiction over any dispute.
